Privacy Policy

Last updated: 17 September 2026. This policy explains how HospiTrain collects, uses and protects your personal information, in line with the Protection of Personal Information Act, 2013 (POPIA).

1. Who we are

HospiTrain is operated by FranchiseTraining.co.za (Pty) Ltd t/a HospiTrain (registration number 2026/042141/07), 655 Marine Drive, Brighton Beach, Durban 4052, South Africa. We are the responsible party for the personal information described in this policy.

3. What we collect

When you buy or register for a course, we collect your name, email address, phone number and billing address. If you buy for someone else or register a team, we collect each learner’s name and email address. In the learning portal, we record course progress, quiz results and certificates. When you use our contact form, we collect the details you send us. Our website also records basic technical information such as your IP address, browser type and the pages you visit.

4. Why we use it

We use your information to process your order, create your learning portal account, send your login details, give you course access, issue certificates, answer your questions and send you service emails about your purchase. If you start checkout but don’t finish, we may send you a reminder about the items in your cart. We use website statistics to improve the site. We do not sell your personal information.

5. Marketing

We only send marketing emails if you have agreed to receive them or are an existing customer, as POPIA allows. Every marketing email includes a way to unsubscribe.

6. Who we share it with

We share information only with the service providers we need to deliver our courses:

  • Payfast processes your payment. We never see or store your card details.
  • TalentLMS (Epignosis) hosts the learning portal and stores your learner account and progress.
  • Our website host and email provider store website data and deliver our emails.
  • Google provides website statistics (Google Analytics and Search Console).

If you are a team member registered by your employer, your employer can see your enrolment and progress. We may also disclose information where the law requires it.

7. Information stored outside South Africa

Some of our service providers, including TalentLMS and Google, store information on servers outside South Africa. We only use providers that protect personal information to a standard comparable to POPIA.

8. Cookies

Our website uses cookies to keep your cart and checkout working, remember your currency choice and measure how the site is used. You can block or delete cookies in your browser settings, but checkout may not work without them.

9. How long we keep it

We keep order and invoice records for as long as tax and company law requires (usually five years). Learner accounts and certificates are kept so you can access your records after your course ends. You may ask us to delete your account at any time, unless we must keep the information by law.

10. How we protect it

We use secure (HTTPS) connections, a website firewall, access controls and trusted service providers to protect your information. If a security breach affects your personal information, we will notify you and the Information Regulator as POPIA requires.

11. Your rights

You have the right to ask what personal information we hold about you, ask us to correct or delete it, object to us using it, and withdraw consent to marketing. To make a request, email admin@hospitrain.com. We will respond within 30 days.

12. Complaints

If you are not satisfied with how we handled your information, please contact us first. You may also complain to the Information Regulator of South Africa at inforegulator.org.za.

13. Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed.
